Privacy Policy

In brief: We are Alpha Bot System OÜ ("Alpha.bot" or "we" or "us"). We respect your privacy and the confidentiality of information that you give us. We do not collect personally identifiable information, sentiment, or similar data beyond what is needed to operate the service. Information you manually provide for customization will be shared with third parties only when required to deliver the service you have requested, as explained in detail below.

1. Changes to the Privacy Policy

We may update this privacy policy at our discretion from time to time by posting a new version on our website. You should check our website occasionally to ensure any changes made are suitable for you. If required by applicable law, you will be informed of any significant changes made to the privacy policy.

Alpha Bot System OÜ ("Alpha.bot" or "we" or "us") may change this Privacy Policy at any time. If you continue to use Alpha.bot after we post changes to the Privacy Policy, you are signifying your acceptance of the new terms.

2. About us

Alpha.bot is the data controller responsible for your personal data and is the sole owner of all Alpha-branded services ("Alpha Services") and all of the information collected on it. Alpha.bot does not collect information from users except if manually provided by the user or required to deliver the service you have requested.

This privacy policy applies to data that we collect from you when you use our services. It provides information on what personal data we collect, why we collect it, how it is used, and the lawful basis on which it is processed.

By using our services or submitting your personal data, you are taken to accept the terms of this privacy policy, so please read it carefully.

3. Personal data that we collect

There are two ways your data reaches us. First, when a Discord server administrator authenticates Alpha.bot through Discord OAuth on our website, we receive the basic profile and server information that Discord shares under the scopes they approve — such as the administrator's Discord user ID, username, and the list of servers where Alpha.bot is installed. Second, when you @mention or DM the bot inside Discord, the Discord platform delivers your Discord user ID, username, channel ID, and the message text to the bot. We do not request additional permissions from you at that point — access is granted by the server administrator who installed the bot. In both cases, we use this information solely to operate the service.

We retain a copy of each request and the bot's response — including the message text you send to the bot, the bot's reply, any tool calls and their results, and aggregate metadata (token counts, cost, latency). These records are used to operate, debug, and improve the service. They are not used to build user profiles and are not sold or shared with third parties beyond the providers strictly needed to deliver the service (see Section 4).

Our services automatically collect aggregate statistical information, including but not limited to the number of requests each server makes and the total number of requests since the launch of a particular feature.

We use the collected data only in ways necessary to provide the services you have asked us to provide. We do not generally rely on your consent to allow us to process the data if there is another lawful ground available. If we do rely on your consent we will make this clear to you at the time. We will never sell or distribute the collected data. Once data becomes outdated or is no longer used or integrated into our systems, we will permanently delete it.

4. Third-party processors

To deliver the service we share narrowly scoped data with the following processors, who act on our behalf:

Anthropic — operator of the Claude API. Receives the text of your request, any preferences you have asked the bot to remember, and the bot's accumulated conversation context, so that Claude can generate a response.

Google — operator of the Gemini API. Receives the same categories of data as Anthropic when a request is routed to a Gemini model.

Stripe — handles subscription billing for paid plans. Receives the payment details you enter at checkout, your billing email, and the subscription metadata required to operate the plan. We do not see or store your full card number.

Each of these providers is contractually limited to processing the data on our behalf, and is bound by their own published privacy policies, which we encourage you to review.

5. Your rights under EU data protection law

If you are located in the EEA or the United Kingdom, you have the following rights in respect of the personal data we hold about you: the right to access your data and receive a copy; the right to have inaccurate data corrected; the right to have your data erased, subject to limits where we are required to retain it by law or for the establishment or defence of legal claims; the right to receive your data in a portable format; the right to object to or restrict certain processing; and the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or another EU supervisory authority.
